This Privacy Policy outlines how we collect, use, disclose, and safeguard the information provided by businesses using our software-as-a-service (SaaS) platform to generate custom postcards for their customers. Please read this policy carefully to understand our practices regarding your data and how we handle it. By using our services, you acknowledge that you have read and understood this Privacy Policy.
1. Information We Collect:
a. Business Contact Information: When businesses register for our services, we collect their contact information, including business name, address, email address, and phone number.
b. Customer Data: To provide our services, we may collect information from businesses, including but not limited to customer names, mailing addresses, and any other relevant data required to generate and deliver the services offered.
c. Usage Information: We may collect non-personal information about how businesses use our platform, such as the frequency and duration of their visits, features utilized, and interaction patterns. This information helps us improve our services and enhance user experience.
2. Use of Information:
a. Custom Postcard Generation: We utilize the business information provided to generate custom postcards as per their specifications and deliver them to the designated customers.
b. Service Improvement: We may use the usage information to analyze trends, monitor and improve our services, identify potential issues, and develop new features to enhance user experience.
c. Communication: We may use the provided contact information to communicate with businesses regarding updates, service-related notifications, customer support, and any other relevant information related to our services.
3. Data Sharing and Disclosure:
a. Third-Party Service Providers: We may share the Business Contact Information and/or Customer Data with trusted third-party service providers, such as contracted printers and postal services, to facilitate the production and delivery of the postcards to the designated recipients. These providers are bound by contractual obligations to handle the information securely and only for the intended purpose.
b. Legal Compliance: We may disclose information when required by law, regulation, legal process, or government request, to protect the rights, property, or safety of our company, users, or others.
4. Data Security:
We are committed to protecting the security of your information and have implemented appropriate technical and organizational measures to safeguard against unauthorized access, disclosure, alteration, or destruction of data. However, please be aware that no method of data transmission or storage is completely secure, and we cannot guarantee the absolute security of your information.
5. Data Retention:
a. Business Contact Information: We retain for as long as necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, accounting, or reporting requirements..
b. Customer Data: We retain customer data only to generate and mail custom postcards. Once the postcards have been printed and mailed, all customer data shall remain accessible in your account dashboard until such a time that you choose to delete it, or otherwise required by law.
c. By law we have to keep basic information about our customers (including Contact, Identity, Financial and Transaction Data) for six years after they stop being customers for tax purposes.
6. Your Legal Rights (EU):
If the General Data Protection Regulation applies to you because you are in the European Union, you have rights under data protection laws in relation to your personal data:
a. The right to be informed – that’s an obligation on us to inform you how we use your personal data (and that’s what we’re doing that in this privacy policy);
b. The right of access – that’s a right to make what’s known as a ‘data subject access request’ for copy of the personal data we hold about you;
c. The right to rectification – that’s a right to make us correct personal data about you that may be incomplete or inaccurate;
d. The right to erasure – that’s also known as the ‘right to be forgotten’ where in certain circumstances you can ask us to delete the personal data we have about you (unless there’s an overriding legal reason we need to keep it);
e. The right to restrict processing – that’s a right for you in certain circumstances to ask us to suspend processing personal data;
f. The right to data portability – that’s a right for you to ask us for a copy of your personal data in a common format (for example, a .csv file);
g. The right to object – that’s a right for you to object to us processing your personal data (for example, if you object to us processing your data for direct marketing); and
h. Rights in relation to automated decision making and profiling – that’s a right you have for us to be transparent about any profiling we do, or any automated decision making.

You will not have to pay a fee to access your personal data (or to exercise any of the other rights). However, we may charge a reasonable fee if your request is clearly unfounded, repetitive or excessive. Alternatively, we may refuse to comply with your request in these circumstances.
We may need to request specific information from you to help us confirm your identity and ensure your right to access your personal data (or to exercise any of your other rights). This is a security measure to ensure that personal data is not disclosed to any person who has no right to receive it. We may also contact you to ask you for further information in relation to your request to speed up our response.
We try to respond to all legitimate requests within one month. Occasionally it may take us longer than a month if your request is particularly complex or you have made a number of requests. In this case, we will notify you and keep you updated.
We have appointed a data privacy manager who is responsible for overseeing questions in relation to this privacy policy. You have the right to make a complaint at any time to the Information Commissioner's Office (“ICO”), the UK supervisory authority for data protection issues (www.ico.org.uk). We would, however, appreciate the chance to deal with your concerns before you approach the ICO so please contact us in the first instance.

Our services may contain links to third-party websites or services that are not operated by us. We have no control over their content, privacy practices, or security measures. We encourage users to review the privacy policies of these third-party websites before providing any personal information.
8. Children's Privacy:
Our services are not intended for individuals under the age of 16, and we do not knowingly collect personal information from children.
